An AI meeting bot that takes notes in Zoom, Meet and Teams

How it works

From the link to the note in your inbox, this is what the bot does.

1. Paste a Zoom, Google Meet or Microsoft Teams link in Lynkk, or connect Google Calendar and leave auto-join on.
2. A pasted link sends the bot right away. With the calendar, the bot is booked for every event that has a start time and a meeting link, and joins when the meeting starts.
3. It joins as a visible participant named after you, such as "Priya's Notetaker". If the meeting has a waiting room, the host lets it in like any guest.
4. While the call runs, a live transcript built from the meeting's captions shows in Lynkk.
5. When the call ends, Lynkk transcribes the recording, matches speakers to the names shown in the meeting, and writes the summary, action items and decisions.
6. The summary is emailed to you. You can also choose to email it to the people invited to the calendar event.

Send a bot to join a Zoom call

For a single Zoom call, you don't need the calendar at all. It takes about a minute.

1. Copy the Zoom link from the invite, ideally a minute or two before the start.
2. Paste it in Lynkk and press Send bot. The bot joins right away.
3. If the meeting has a waiting room, the host or a co-host clicks Admit.
4. Talk as usual. The live transcript shows in Lynkk while the call runs.
5. When the call ends, the note is written and the summary lands in your inbox.

Zoom, Google Meet and Teams

One bot covers all three, from the same Send bot box or the same calendar. Each platform has a page of its own with the details: the Zoom bot, the Google Meet bot and the Teams bot. On Meet the bot asks to join like any guest. On Teams it waits in the lobby until someone lets it in, which also works when the other company hosts the call.

Calendar auto-join meeting bot, in your control

Once Google Calendar is connected, auto-join is on and the bot follows your calendar. You stay in charge of which calls it goes to.

• All-day events and events without a meeting link are skipped.
• Turn the bot off for a single meeting, or on for one it would skip. Turning it off always wins.
• If a meeting moves, the bot moves with it. If it is cancelled, the bot is cancelled too.
• A meeting that started more than 10 minutes ago does not get a bot. Paste the link if you want it there anyway.
• You can tell the bot to leave from Lynkk at any time.

Bot can't join? (waiting room, sign-in required)

• Waiting room or lobby: the host or a co-host has to admit it. If nobody does, Lynkk closes the note and tells you the bot was not let in.
• Sign-in required: some hosts only admit people signed in from their own company. That keeps every outside guest out, bots included. Ask the host to allow guests, or record without a bot.
• Outside guests blocked: on Teams, an admin can block guests from outside the company. The bot can't get past that.
• Sent too late: a bot sent after the start records from the moment it joins. From the calendar, a meeting that started more than 10 minutes ago gets no bot, so paste the link instead.
• Old link: if the meeting was moved to a new link, copy it from the latest invite.

Bot or no bot?

A bot is the easy choice when you want notes from calls you can't attend, or when you are on a phone or a Windows PC. It needs nothing installed. But it is one more face in the participant list, and some hosts don't let it in. When that matters, record from your own computer instead.

• The Chrome extension records Google Meet, Zoom in the browser and Teams in the browser, from your own tab. Nothing joins the call.
• The Mac app notices a call in Zoom, Meet, Teams and other apps and asks Record or Not now. It records both sides, so your own voice is labelled You.
• Both give you the same note as the bot: the summary, action items, decisions and a transcript with speaker labels.

When it leaves, and what it skips

The bot leaves a few seconds after it is the only one left in the call. If it is booked from your calendar and nobody turns up, it waits until the meeting's scheduled end, leaves a minute later, and no note is made. If the host never lets it in, the note says so. The bot covers Zoom, Google Meet and Microsoft Teams. For anything else, or when a bot would feel out of place, record with the Mac app or the Chrome extension, which capture the call from your own computer with nothing joining it.

What the note holds

A bot recording turns into the same note as any other Lynkk recording. It has a title, a short summary, the key points with timestamps, action items with owners and due dates, decisions, open questions and the full transcript split by speaker. Every timestamp plays the call from that moment, so you can check what was really said. Notes are searchable by meaning or exact words, and transcripts cover 17 languages, Hinglish included.

Who sees it, and telling people

The bot is never hidden. It joins under your name, such as "Priya's Notetaker", and sits in the participant list for the whole call. The host can remove it like any guest. Tell people at the start that you are recording, the same as you would with any recorder. Each recording can run up to 2 hours.

Real action items, ready to send

Every action item is pulled out with an owner, a due date when one was said, and the moment it came up. Send them to Jira from the note, one issue per item, when you are ready.

The bot is on every plan. On the free plan it records audio, and your first 5 hours of meetings get AI notes and action items. After that, meetings are still recorded and transcribed, and you can search them, but no summary is written.
